Position Summary:
Assists with maintaining accounts payable and receivable and provides administrative support.
Specific Duties & Responsibilities:
Essential functions of the position include, but are not limited to:
Accounts Receivable:
- Process customer payments received via EFT, credit card, or company check (includes interface with customer banks and letter of credit collection).
- As directed, follow up on all outstanding amounts due from customers to ensure timely payment.
- Review UPS/shipping invoices against shipper’s reports for accuracy. Perform necessary actions to correct discrepancies.
Accounts Payable:
- Manages electronic filing of invoices received from vendors.
- Processes vendor invoices using portal to match with purchase orders and receiving.
- Researches invoices with match discrepancies.
- Routes invoices with missing support documentation to department managers for approval.
- Prepares weekly payment batches for review and approval.
Inventory Costing:
- Reviews variances and posts work in process job closures.
- Posts engineering time to IR&D and customer jobs.
General:
- Provide administrative support, sort accounting mail, and file all accounts receivable documents.
- Perform any related duties as required or assigned.
- Follows company rules and procedures.
Education & Experience:
- High school diploma with accounting training desirable.
- Currently enrolled in a 4 year college pursuing a finance degree.
Qualifications:
- Good knowledge of business English, spelling, and punctuation.
- Knowledge of Microsoft Office Products.
- Professional and friendly phone etiquette skills.
- Customer Service experience desired.
- Must be able to work with minimal guidance.
Training Requirements:
On-the-job training.

Work Environment: (*)
This position will require a working environment mix comprised of office, shop floor, field and customer locations (both domestic and international). While performing the duties of this job, the employee may be exposed to static electricity; explosives in test conditions; fumes; airborne particles; outside weather conditions prevalent at the time and an air-conditioned and heated office. The noise level is normally moderate may be occasionally high.
